Workspace Settings is the local status and preference screen for this desktop installation. Domain-owned actions open their own workflows.

What this is

The Workspace Settings page has Overview, Licence & Device, Data Protection, App Updates, Statutory Packs, Support & Diagnostics, Auditor Access, and Preferences. Installation details and security shortcuts are available within the page rather than as a separate Installation section.

Overview reports Overall state, Local workspace, Licence state, Backup state, Active organisation, Update state, Generated, Reason, and Primary action. Current actions can include Review licence or a refresh/diagnostics action.

When to use it

Use this before troubleshooting a local workspace, reviewing licence or backup readiness, generating safe diagnostics, managing optional auditor access, or changing workstation preferences.

Before you begin

  • Sign in to the intended workspace and confirm the active organisation.
  • Be the workspace owner or an authorised administrator for changes; an auditor receives read-only status.
  • Do not disclose licence IDs, workspace IDs, paths, employee data, passwords, or recovery codes in an unapproved ticket.

Open Workspace Settings.

Steps

  1. Review overview

Open Overview, read the state/reason/action, and select Refresh when you need a current local status.

  2. Check installation details

Review the local installation details shown in Overview, including version, workspace identity, host, and database health. Copy an identifier only when your approved support process needs it.

  3. Review licence and device

In Licence & Device, review licence/device identifiers, status, expiry, offline validation due, limits, and last validation. Use Copy licence ID or Validate licence now only when authorised and enabled.

  4. Review data protection

In Data Protection, review backup state, automatic backups, last/next backup, location/secret status, closed-app scheduler, encryption at rest, and restore-pending state. Use Review backup, Create backup now, or Review restore status to open Workspace Backup.

  5. Review updates and packs

In App Updates, review the application status. In Statutory Packs, review signed release availability and the workspace default; use Manage for an authorised scope rather than replacing pack files manually.

  6. Generate diagnostics

In Support & Diagnostics, select Generate diagnostics bundle, review Included data and Excluded data, then choose Generate safe bundle only after confirming the scope.

  7. Manage access and preferences

In Auditor Access, use Set up auditor access, Manage auditor access, or Refresh auditor state as the owner. In Preferences, change Notification level or Remember last settings section, then select Save preferences; use Revert for unsaved changes.

What to check

The displayed status is current, the active organisation is correct, domain actions opened the expected screen, diagnostics contain only the reviewed scope, and preferences show a saved confirmation. Keep a record of significant workspace changes and their audit evidence.

Important boundaries

Workspace Settings does not edit organisation profile, employee, payroll, document-template, backup-password, statutory-pack, or user-role data directly. It reports local posture and links to the owning workflow. Diagnostics are intended to be safe local bundles; review inclusion/exclusion before sharing.

Common problems

A settings section is unavailable

Check persona and owner permissions; auditors cannot change settings.

Primary action is Review licence

Use Licence & Device and preserve the status/reason rather than deleting the workspace.

Backup or scheduler status needs repair

Use Workspace Backup; do not copy database files while the app is running.

Diagnostics bundle fails

Keep the error text and retry only after checking the displayed scope.
