Templates are adjustable starting values. Confirm entitlements, pay treatment, eligibility, and evidence against the organisation’s contract and applicable rules before publishing.

Steps

  1. Choose a starting point

In Time Off Policies → Templates, select an appropriate template, or choose Create policy to start from scratch. Review the template note and jurisdiction before relying on its values.

  2. Define identity and core rules

Complete Policy identity and Balance and approval rules: code, name, leave type, paid treatment, payroll treatment, entitlement, tracking, accrual, and approval.

  3. Set the lifecycle and dates

Review Balance Lifecycle for carry-over, expiry, and cash-out where applicable. Set the counting method, cycle, effective dates, weekends, holidays, and eligibility in Effective dates.

  4. Add applicable local rules

Use Jurisdictions and entitlement tiers only where different local entitlements or wage bands apply. Review tier duration, paid percentage, wage basis, certification, substitution conditions, and statutory source reference. Add a description and version note.

  5. Save or publish

Read the field and server validation. Select Save draft if the rule needs further review; select Save & publish when it is ready. A draft cannot be used as the active policy for new requests.

  6. Assign employees

In Policy list, confirm the active status and effective dates, then use Manage employees to assign the eligible employees. Save with Update Assignments.

Review after publication

Create a controlled request quote to check counted units, entitlement tier, paid/unpaid allocation, and evidence requirements. Publication alone does not establish that a particular employee request or payroll run has been calculated correctly.
