The Exchange Rates panel in regular and off-cycle payroll preparation shows currency conversions required for this draft. The required pair, rate type, source, and effective date come from the pinned payroll policy and current calculation requirements. A rate recorded for another date or purpose may not satisfy this run.

Add a required rate

  1. Wait for the required pairs

Open the editable draft and expand Exchange Rates. Wait until current requirements are ready. If the panel says no rates are required, there is nothing to capture for the current inputs. If policy details are missing, follow the displayed readiness action before entering a quote.

  2. Choose the conversion pair

If several pairs are required, use Select conversion pair. Check the displayed currency direction and policy details. The effective date, rate source, and rate type are set by the payroll policy rather than entered freely.

  3. Enter or fetch the quote

Enter a positive Exchange Rate in the displayed formula, 1 source currency = X target currency. If the policy permits the inverse direction, use the formula control to switch direction. Fetch Interbank Rate is available only when a configured source can return a quote matching the pair, rate type, date, and permitted direction. A fetched quote still needs review. Add a source reference when you have one.

  4. Save and review the result

Inspect Calculated Conversion Preview, then select Save & Apply Rate. Repeat for each required pair. Confirm the panel shows the required rates resolved and saved, and run or refresh Preview payroll to check the authoritative totals. The conversion preview in the rate form is indicative; it does not replace payroll review.

Change or remove a recorded rate

In Recorded Rates for this Payrun, use Edit rate to replace a quote for a required pair, or Remove rate to remove a recorded quote from the editable draft. Review the pair, applied formula, effective date, source/reference, and line impact before changing it. Saving or removing can trigger payroll review again. If the rate saves but review fails, keep the draft open, read the displayed error, and retry review before finalising.

Resolve a rate warning

Message or stateWhat to check
Missing required pairSelect that pair and capture a matching quote.
Date or rate-type mismatchUse the pinned policy date and type shown by the panel; an older quote may be valid for an older run but not this one.
Direction mismatchUse the required direction or the inverse only when the policy allows it.
Conflicting quotesEdit or remove the conflicting eligible quotes for the same pair, date, and rate type.
Fetch unavailableEnter a matching quote manually when policy details are ready, or resolve the missing policy/source configuration shown.
Saved rate, review failedConfirm the rate remains recorded, then obtain a successful current payroll review before finalising.

Rates belong to this pay run’s evidence. Changing an employee amount, currency, run date, or other calculation input may change what conversions are required; recheck the panel and preview after such changes.
