Understand leave balance substitution and payroll impact
Read source-policy and target-balance quotes before approving leave or running payroll.
What the quote shows2 sections
A time-off request starts under a source policy. If its configured tier permits substitution, the server quote can offer an eligible target policy whose balance will be used instead. The two policies may count dates differently, so review the source quantity and target allocation separately.
What the quote shows
- Current balance and Projected remaining describe the policy balance used by the quote. When substituted, look for the named target balance.
- Source rule assessed shows the quantity evaluated under the original policy; Target balance shows the amount reserved under the substitute policy.
- Policy tier allocation shows units and paid/unpaid treatment by band. A manual units override can affect both source and target quantities, so use it only with documented support.
- Supporting evidence can come from the source or target policy. Read whether it is required before submission, before approval, or only when a threshold is reached.
The selector Use another leave balance appears only for eligible options. Some substitutions are automatic; employer-discretion choices require the relevant authority. A blocked option displays its reason. A fresh server quote is required before submission, and policy warnings may still block later approval.
Payroll boundary
An approved request records the leave decision. In the pay run, review the service dates, counted units, paid/unpaid treatment, and any direct run-level time-off entry before finalisation. Policy assignment and time-off approval do not themselves prove the final payroll amount. See Adjust time off in a pay run.
