Add a bureau client organisation
Add your first bureau client during onboarding or later, and register additional client organisations.
Before you begin7 sections
A bureau workspace holds separate client organisations. Each client has its own employees, payroll configuration, statutory information, documents and outputs. The Bureau profile identifies your bureau; a client organisation identifies the employer whose payroll you process.
If you run payroll for your own company, follow Create your organisation.
Before you begin
Confirm the client employer and have its authorised legal, contact, address, tax and statutory records ready.
Confirm the client’s payroll currency and intended service periods.
For flows that include payroll setup, have a statutory release available that covers the client’s jurisdiction, currency and first service-period end.
Choose the steps that match where you are: onboarding, an empty bureau workspace, or Organisations in an existing bureau workspace.
Add the first client during onboarding
- Choose bureau setup and complete the bureau profile
At Choose how to start, select Create New Workspace. Then choose I manage payroll for multiple clients, complete local entitlement and owner recovery, and create the bureau profile with your bureau’s name, optional reference code, default jurisdiction and default currency. See Quickstart for the shared setup steps.
- Choose to add the first client
In First client, choose Add the first client now, then select Continue to client profile.
- Enter the client profile
In Client profile, enter the client’s legal name, optional trading name, jurisdiction, primary currency and client reference as appropriate.
- Configure the client payroll calendar
In Client payroll setup, configure the payroll frequency and calendar settings, including the cadence anchor, timezone and close-by rule. Review the first service period and subsequent occurrences.
- Confirm the client statutory release
In Client statutory release, review the release and resolve the readiness messages for the client and first service-period end. Select Confirm release and continue when ready.
- Review and enter the workspace
Complete the Backup choice, then check Review. Select Enter workspace to complete onboarding with the first client.
You can also defer the first client and select Skip to backup. Complete the bureau onboarding review, then use the empty-workspace steps below when ready. Until onboarding completes, the attempt is incomplete and is discarded if you close or abandon it.
Add the first client after onboarding
Use these steps if your bureau workspace shows No organisations yet.
- Open the first-organisation form
Select Add Organisation to open Add organisation.
- Enter the client identity
Enter Legal name, optional Trading name, Organisation code and Default currency. Review the suggested organisation code and change it if needed.
- Review the first payroll period
Review the First payroll period preview, including its service dates and close-by deadline.
- Confirm statutory readiness
Complete the statutory-pack setup and resolve its readiness messages. The workspace statutory default must cover the first service-period end before creation can continue.
- Create the client organisation
Select Create organisation. Paydae creates the client and its initial default pay schedule, then selects the new organisation and opens the organisation workspace.
If the organisation is saved but schedule setup fails, the form shows Finish pay schedule setup. Use that action to continue the saved client’s setup without creating a duplicate organisation.
Register another client in an existing bureau workspace
- Open organisation registration
Open Organisations and select Register organisation.
- Enter the organisation identity
In Organisation identity, enter Organisation legal name, optional Trading name, Company type and Industry.
- Complete the tenant workspace details
In Tenant workspace, enter Tenant workspace name and review Plan, Billing cycle and Default payroll currency. This registers the client inside your existing local bureau workspace; ownership and access are bureau-managed.
- Complete contact and tax details
Complete Contact and tax profile using the client’s primary contact details, business and postal addresses, and displayed tax fields. Resolve all required-field validation before saving.
- Review organisation payment methods
In Organisation payment methods, add any authorised bank transfer or mobile money accounts owned by the client and select the intended primary route. You can complete this later under My Organisation → Edit Organisation Profile. See Set up organisation payment methods.
- Enter the statutory profile
In Statutory profile, enter the client’s statutory settings and required applicability decisions. See Configure your organisation’s statutory profile.
- Review, save and select the client
Review Summary, then select Save organisation. You return to the organisation list. Select the intended client and confirm the active organisation before adding employees or processing payroll.
This registration form records the organisation profile. Configure the client’s pay schedules separately under Payroll → Pay schedules; see Set up pay periods. New organisations inherit the workspace statutory default. Check its coverage and the client’s own readiness before preparing payroll.
After creation
Review My Organisation for the selected client and complete any remaining profile, payment-method or readiness actions. Add departments and employees, then confirm their pay-schedule assignments before preparing payroll. A saved organisation can still need further setup.
Common problems
Cannot create the first client
check required identity fields, the first-period preview and statutory readiness messages.
Cannot save a registration
correct the fields named by validation using the client’s authorised records.
The client exists but setup is incomplete
finish the displayed setup action. In the empty-workspace form, use Finish pay schedule setup instead of registering the client again.
Wrong client selected
switch to the intended organisation and verify its identity before entering or exporting data.
Important boundaries
The close-by date is an operational deadline, not an employee payment date. For regular and off-cycle payroll, statutory coverage uses the service-period end.
Statutory-pack inventory and defaults are shared by the workspace. Employer facts, employees and outputs remain specific to each client. Confirm the active organisation before importing employees, preparing payroll or sharing documents.
Registration does not verify legal ownership, statutory registration or official filing status. Review the client’s payroll and statutory outputs before submission through the required official channel.
