Use Documents → Payslips to generate employee PDFs from a finalised payroll run. Generation records the documents in the local workspace; saving a PDF is a separate action.

Before you begin

Confirm the active organisation, select the intended Payroll run, and check that it is finalised. The run selector can show All Payruns for browsing, but Generate payslips needs a selected finalised run. Configure the organisation’s payslip branding before generation if a logo or watermark is required.

Steps

  1. Select the finalised run

Open Payslips and choose the run in Payroll run. Use employee search to find a particular person.

  2. Generate payslips

Select Generate payslips and wait for the result. The action creates documents from the finalised run; it does not recalculate payroll.

  3. Review employee rows

Refresh if needed. Check for Document Ready, Generation Failed, or Not generated. Open Details or Preview to inspect a ready payslip and confirm its period, gross pay, and net pay.

  4. Save the needed copies

Use the row’s Save action for an individual PDF. Use Select Multiple to choose generated payslips and Save ZIP to local directory when you need a group of files.

Generated versus saved

A ready payslip can show Not saved locally until you save a copy. Saved locally describes the local file action, not whether payroll was paid or a document was sent. Use Local save status to filter these states. Review the destination and Local Export Log after saving.

Common problems

Generate payslips is unavailable

select a finalised run rather than All Payruns.

A row says Generation Failed or Not generated
The saved PDF is missing

check the selected destination and the save result; generation and saving are separate.

The source document has no recorded hash

follow Generated document hash missing before selecting it for a proof package.
