The Time Off step shows leave entries for the run’s included employees and service period. You can change a direct draft payroll entry while the draft is editable. Approved or posted time-off requests retain their recorded units and allocation evidence and appear for review, not editing in the payroll draft.

A draft or submitted time-off request must be resolved through Time Off before recording a separate payroll entry for the same leave; this helps prevent duplicate hours.

Before you begin

Confirm the organisation, run, employee, service date and assigned policy. If the policy requires a qualifying event or illness episode, use the time-off request and approval workflow; a direct payroll entry cannot capture that evidence.

Add or change a draft entry

  1. Open the Time Off step

Open the editable regular pay-run draft and go to Time Off. Use Policy View or Month View, the employee search and policy filters to locate the employee and date. Check that the employee is included and the date is covered by the run.

  2. Open the entry

Select the relevant policy or date cell. For a new direct payroll entry, choose the policy. For an existing editable draft entry, open it to change its hours or notes. Approved or posted requests open as read-only details.

  3. Enter the supported hours

Enter the time-off hours and optional note. The direct entry requires at least 0.25 hours in 0.25-hour increments. Check the policy and paid or unpaid treatment before saving.

  4. Save and preview

Select Add entry or Save changes. To delete an editable draft entry, use Remove entry. Recheck the employee’s time-off total, save progress, and run a fresh payroll preview to see the effect on pay and statutory results.

Important boundaries

Use Time Off outside payroll to submit and approve a request that needs evidence or approval. Later schedule changes do not recalculate the units of an already approved request. The payroll step consumes that captured allocation. A finalised run is read-only.

The Upload CSV control in the current Time Off toolbar reports that CSV upload is unavailable; enter supported changes through the visible draft controls. For policy setup, see Time off policies.
