Use a custom reimbursement input when payroll needs to repay an approved employee expense. The selected tax-category archetype determines payroll treatment; review the builder’s preview before publishing.

Before you begin

Confirm the organisation, reimbursement purpose, approved source evidence and whether this item should be recurring or entered in one pay run.

Create the definition

  1. Start a custom transaction

Open Transactions → Custom transactions and select New custom transaction. Choose the approved reimbursement archetype offered by the builder.

  2. Configure and preview it

Complete the identity, value, permitted actions and effective dates. Review the fixed treatment, payslip presentation and calculation preview against the approved reimbursement policy.

  3. Save and publish

Save the draft. Follow the Publish a custom transaction review before using the published version in payroll.

  4. Enter it in the correct place

If the published definition permits recurring assignment, add it to the employee’s recurring inputs. For a one-run expense, enter the published item in that pay-run draft when its allowed actions permit it. Preview the resulting employee and payroll totals.

Do not create a custom reimbursement to imitate a pack-generated statutory result. Saving the definition does not repay the employee or submit a payment file.
