Record employee-paid medical expenses
Capture medical expense evidence used to determine an employee's statutory medical credit.
Before you begin6 sections
Use Medical expense claim in the employee form to record employee-paid expense facts for payroll’s statutory medical-credit review. This records evidence; it does not submit a claim to a medical aid provider.
Before you begin
Gather the payment record, provider, beneficiary, service or medicine, amount, currency, and receipt reference if available. Establish who paid the expense and whether there is evidence for credit eligibility.
Steps
- Open medical expense evidence
In Employees, choose Edit employee and open Medical & Dependants. Under Medical expense claim, select Add expense.
- Describe the payment
Enter Payment date, Provider, Beneficiary, Service or medicine, Amount, Currency, and the optional Receipt reference. Match these to the payment and treatment evidence.
- Record the credit facts
Set Paid by employee and Eligible for credit only from supported evidence. Complete any displayed evidence review fields; do not mark an unverified claim as approved.
- Save and inspect
Save the expense record, then select Save changes on the employee form. Use View details to confirm the saved facts.
Expected result: The expense appears in Medical Aid & Health Claims on the employee profile.
What to check
Open View details and review Medical Aid & Health Claims. Confirm the saved expense, payment source, date, currency, and eligibility evidence. Review statutory readiness and the payroll calculation where the medical credit is expected. If the calculation omits the expected credit, recheck the expense’s eligibility and the active statutory pack rather than adding another claim for the same payment.
Related medical records
- Medical aid contribution policy records ongoing cover and contributions.
- Medical reimbursement evidence records an employer or provider reimbursement. Its evidence amount is not the controlled transaction amount used for payroll calculation.
- Employer medical benefit records employer-paid treatment or a refund as an exempt non-cash benefit, rather than an employee-paid claim.
Important boundaries
Do not mark an expense as employee-paid or credit-eligible without support. If the employer or provider reimbursed the expense, record that separately rather than treating the reimbursed amount as an additional employee payment.
Common problems
The expense is absent after editing
Confirm that both the expense record and employee form were saved.
The expected credit is absent
Check Paid by employee, Eligible for credit, the payment date, evidence status, and the calculation message.
The employer paid or refunded the treatment
Use the appropriate employer medical benefit or reimbursement evidence record instead of representing it as employee-paid.
