A generated document record and a copy saved to a chosen folder are separate. Preview the document first, then use the save action in its Documents area when you need a file outside the document record.

Before you begin

Confirm the active organisation and the output’s run, month, or other scope. Check that generation completed and that the destination is writable. Use Document Settings to choose a default export folder if needed.

Steps

  1. Find the generated document

Open Payslips, Statutory Filings, Bank Exports, or Custom Reports & Proof. Use the relevant generated history or archive for an earlier file.

  2. Inspect its contents and scope

Use Preview or the available details. Confirm the employee or report, period, format, and generation time before writing a copy.

  3. Save the file

Use Save, Save generated file locally, Save historical file, or the output-specific local save action. For multiple generated payslips, use Select Multiple and Save ZIP to local directory.

  4. Verify the local result

Check the chosen destination and open Local Export Log for the recorded file name, actor, time, format, destination label, and status.

Understand save results

A successful save writes a file and records the export. The app can also report that the file was saved but its audit or export-log record failed; verify the actual destination and preserve that warning for review. Cancelling a save writes no copy to the selected destination, but a document generated immediately before the save can remain available in Documents.

The local export log reports local writes; it does not prove a recipient received a file. Saving a bank file does not release a payment, and saving a statutory output does not submit it.

Common problems

No save action is available

check that a generated document exists and you have access to it.

No file appears in the chosen folder

check the save result, path, permissions, and Local Export Log.

An old file was saved

compare the generated timestamp and scope before using it.
