Create a grade in Employees > Grades before assigning it to an employee. A grade defines monthly salaried minimums by currency and retains their effective-date history.

Before you begin

Confirm the organisation’s approved grade code, name, currency, monthly minimum, and effective date. Each initial currency band must use a different currency.

The code accepts 1–32 letters, numbers, dots, underscores, or hyphens, and the name can contain up to 100 characters. Use the organisation’s agreed naming convention so employees can be assigned to the right grade.

Steps

  1. Start a new grade

Open Employees > Grades and select New Grade. The Create Pay Grade dialog contains the grade identity and initial currency bands.

  2. Enter the grade identity

Enter Grade Name and a unique Grade Code / Level. Version and status are system managed after save.

  3. Define the initial currency band

In Currency Bands Configuration, select a currency, enter a positive Monthly Minimum, and set Effective From. Set Effective To only if the policy has an approved end date.

  4. Add other currencies if needed

Select Add Band for each additional currency. During creation, enter only one initial band per currency; later changes to a currency’s minimum use scheduled versions.

  5. Save and inspect the grade

Select Save Pay Grade. If the dialog stays open, correct the named validation issue. Open View details after saving to confirm the bands and effective dates.

Expected result: The grade appears in the list with its derived status and initial band history.

What to check

Find the saved grade in the list and open View details. Confirm its code, name, currency bands, effective dates, and derived status. Version and status values are assigned by the system after save.

Important boundaries

To revise an existing currency’s minimum later, schedule a new version rather than adding a duplicate band.

Common problems

Duplicate currency during creation

Save one initial band for that currency, then schedule a new version for a later minimum.

Invalid monthly minimum or date

Use a positive amount and a valid effective-from date. An effective-to date cannot be before the start.

Grade unavailable for an employee

Check the grade’s status, effective period, currency, and the employee’s payroll setup.
