Preview monthly net earnings
Understand an employee's full-month gross-to-net payroll estimate from saved employee-master data.
Before you begin6 sections
Implementation is present; release acceptance and final user review are pending. Open the employee’s payroll preview for an indicative full-month estimate. It uses saved employee data, active recurring inputs, organisation payroll settings, and the active statutory pack.
The result leads with estimated take-home net pay after tax and employee deductions. A payslip summary and calculation lines explain the amount.
Before you begin
Review the employee’s effective compensation arrangement, payroll currency, statutory profile, and active recurring transaction assignments. Resolve any missing fields called out by payroll readiness. The preview uses the organisation’s payroll business date to determine the current estimate month and effective records.
Steps
- Open the monthly estimate
Open Employees and choose the employee’s Preview payroll row action. From the employee profile, open Current Pay Structure, review Estimated monthly net, then choose View payroll breakdown. Both routes open Payroll Calculation Preview, marked Monthly Estimate.
- Review take-home net pay
Review Estimated take-home net pay alongside the gross and deductions flow. Gross is the earnings amount before employee deductions; net is the engine-calculated take-home amount after applicable cash adjustments, other employee deductions, and tax/statutory employee deductions. The flow shows currency totals separately when they cannot be compared directly.
- Read the payslip summary
In Payslip Summary, review Gross Earnings, Employee Taxes & Deductions, and Employer Contributions. The taxable income and taxable benefits figures appear under gross earnings. Other employee deductions and tax/statutory employee deductions appear under the deductions section. Employer contributions and statutory employer liabilities are costs borne by the employer; they are not subtracted from take-home earnings.
- Inspect calculation lines
Open All Calculation Lines to inspect individual engine and recurring-transaction lines. Use Search calculation lines to narrow the list and switch on Engine Details for additional codes and classifications. The line table shows each amount with its currency, source, basis, treatment, and explanation when supplied. Copy Breakdown copies the result for review.
- Review assumptions or resolve a block
Expand How to read this payroll calculation preview for the Calculation assumptions, organisation business date, and preview month dates. If the calculation is blocked, read Payroll preview unavailable, resolve the stated employee, organisation, statutory, or exchange-rate issue, then select Try again.
How the month is estimated
Date and base earnings
The organisation’s payroll business date selects the full calendar month, effective compensation and recurring inputs, and statutory rules. Organisations do not currently store a time zone, so the runtime uses Africa/Harare. No payroll schedule occurrence is selected.
The effective pay structure supplies the source rate: base salary for Salaried, contract rate for Contract, or hourly rate for Hourly. The rate unit converts it to a normal full-month amount:
- Monthly: use the recorded rate.
- Weekly: multiply by 52 and divide by 12.
- Daily: multiply by the organisation’s working days per week, then by 52 and divide by 12.
- Hourly: multiply by recorded standard weekly hours, then by 52 and divide by 12. This also applies to a contract with an hourly rate unit.
These are full-month assumptions, not actual attendance. Only an hourly rate unit requires positive standard weekly hours.
Recurring and statutory inputs
The payroll engine uses eligible recurring assignments and recognized employee-master benefits, loans, and statutory details. Scheduled loan deductions count repayment occurrences due in the estimate month, up to the live outstanding balance.
Medical aid uses the policy evidence version effective on the business date at its normal monthly-equivalent amount. The preview does not prorate it by the days the policy overlaps the month. No effective policy means no medical-aid line; conflicting overlapping evidence blocks the calculation.
The engine uses the recorded PAYE method decision when available. If it recommends a method that has not been confirmed, Calculation assumptions identifies the recommendation.
For year-to-date calculations, pre-month statutory ledger evidence and employee tax balances are retained. Current-month ledger postings, NSSA prior-period basis, and current-month employee YTD snapshots, including current-calendar-month P<n> snapshots, are excluded. This keeps the result a full-month estimate rather than an incremental balance after other activity in the month.
Currency totals stay separate unless the calculation requires conversion and valid exchange-rate evidence is present.
Important boundaries
- This estimate does not require or create a payroll period, schedule occurrence, payroll draft, or run. Opening it does not change saved employee data or post statutory ledger entries.
- Active recurring employee inputs are included when their payroll definitions allow recurring use. One-off/event-only payroll transactions, attendance, approved variable hours, and other period-specific entries are not assumed to recur for the whole month.
- Taxable non-cash benefits can affect taxable income without adding cash to take-home pay. Employer contributions are shown separately from employee deductions.
- A later run may differ because it has actual service dates, schedule frequency, approved attendance or overtime, one-off transactions, or updated source data. The run’s own preview is authoritative for review and finalisation.
- This is a forward gross-to-net estimate. It does not solve for the gross earnings required to reach a target net amount; that separate workflow is planned.
- Payroll calculation does not execute a bank transfer or mark an employee paid.
