Schedule a new minimum

  1. Open the grade and currency band

Open Employees > Grades, find the grade, and select View details.

  2. Choose the existing band

Find the currency band that needs a new minimum. Select Schedule version for that band.

  3. Enter the new minimum and date

Enter the positive Monthly salaried minimum and Effective from date. Review the displayed currency and the previous version.

  4. Schedule and verify the version

Select Schedule version, then reopen the grade details to check the timeline and the minimum effective on the intended payroll date.

The previous open-ended version closes the day before the new version begins. A new currency band is for a currency that is not already on the grade.

Assign a grade to an employee

  1. Open the employee record

Open Employees, choose the employee row action Edit employee, and go to Employment & Organisation.

  2. Assign the approved grade

Select the approved grade. In Payroll Setup, review the pay structure, payroll currency, and base-rate source for this employee.

  3. Save and review the payroll rate

Select Save changes and check the employee’s payroll setup state. Where the base rate comes from an internal grade, review the resulting rate in the next preview or payroll calculation.

An employee may have a grade recorded without using its minimum as the payroll base rate. Check both the assignment and the base-rate source.

What to check

Use View details to confirm the intended version applies on the relevant date and currency. Review assignment insights before archiving or changing a grade used by employees.

Important boundaries

Effective dates and previous versions are retained as policy history. Do not overwrite a past minimum to represent a new period. The screen may restrict a new band’s or version’s effective date to the organisation business date or later; follow the displayed validation message.

Common problems

Currency already exists on the grade

Schedule a version on that stable currency band.

New minimum is not used

Check its effective date, the employee’s currency and base-rate source, and the payroll business or service date used for calculation.

Grade cannot be assigned

Check whether it is archived or outside its effective period before changing the employee record.
