Finalise payroll
What happens when I finalise a payroll run?
Before you begin5 sections
Finalisation locks a reviewed calculation and records the actual finalisation timestamp. The close-by date is the owner’s deadline; finalisation does not debit an account or pay employees.
Before you begin
Confirm the organisation, schedule and service period, close-by date, statutory effective date, included employees, compensation and transaction inputs, statutory pack, exchange rates, preview totals, and output evidence. Ensure you have payroll authority.
Steps
- In a preparation draft, reach Step 3 of 4, “Review & Finalise”, at the regular payroll preparation wizard or the off-cycle payroll preparation wizard.
- Select “Preview payroll”. Wait for a successful backend response; draft estimates and “Gross preview” are not sufficient.
- Review gross, employee deductions, employer costs, net pay, schedule occurrence, close-by date, statutory effective date, statutory pack identity, and readiness messages.
- Select “Finalise payroll”. Confirm the organisation, occurrence, employee set, and calculation snapshot.
- Select “Finalise payroll” in the confirmation dialog and wait for the confirmation step.
- For an existing run, select “Finalise payroll” on the Review payroll screen only when that action is displayed and the run has a reviewed calculation-input hash.
What to check
The wizard shows “Finalised”, a finalisation reference, and “Payroll is now read-only”. The confirmation summary includes status “Finalised”, run ID, snapshot reference, gross, statutory deductions, employer costs, and net. Payroll review and history should retain the same run.
Important boundaries
Finalisation is not an official statutory submission or payment. Paydae prepares local records, evidence, and any approved exports; the customer uses applicable external channels. Missing the close-by deadline makes the unfinalised run overdue but does not automatically finalise it. A separate “Approve payroll” action is relevant only where the review API exposes it.
Common problems
Preview is blocked by backend readiness checks
Follow every action in the “Payroll setup action center”.
Payroll finalisation is unavailable
Record the displayed readiness code and message and repair the owning setup.
Payroll finalisation requires payroll authority
Use an authorised payroll user.
Payroll review has no reviewed calculation-input hash
Preview the payroll again before finalising.
