Add or update employee payment details
Set up Bank Transfer, Cash, or Mobile Money routes and check their allocations.
What this is8 sections
Record payment details in the employee’s Payment & Banking section. Maintain bank and branch names/codes separately in the Banks directory.
What this is
The employee form offers Bank Transfer, Cash, and Mobile Money. At least one payment method must exist and one route must be primary. Each route has a currency. The method determines which additional fields appear in the Add payment method dialog.
| Method | Details to enter |
|---|---|
| Bank Transfer | Account holder name, bank name, bank branch, branch code, and account number. Select the bank and branch from the maintained directory. |
| Mobile Money | Account holder name, mobile number, and mobile money provider. |
| Cash | Payee name. |
When to use it
Use this when creating an employee, correcting a payment route, or resolving a payroll setup warning about an account.
Before you begin
- Confirm the employee and organisation context.
- Obtain the payment instruction from an authorised source and confirm who may edit it.
- If using bank transfer, check Banks for the correct active bank and branch.
Product navigation
Open Employees, choose the employee’s row action Edit employee, and open Payment & Banking.
Steps
- Open the payment method
Select Add payment method or edit an existing route. Choose the approved method and enter its Route currency.
- Enter route-specific details
Complete the fields shown for that method. For Bank Transfer, choose the bank before its branch and confirm the branch code. For Mobile Money, include the provider. For Cash, enter the payee name.
- Set any split allocations
Enter Disbursement allocation (%) when splitting payment across routes. If allocations are used, every route needs an allocation and the total must be 100%.
- Save the payment method
Select Save payment method to return to the employee form. Mark the intended route as primary.
- Save the employee record
Select Save changes (or Create employee during creation). Return to Employees and inspect the Bank account column and payroll setup state.
What to check
The route belongs to the intended employee, the currency and method match the approved instruction, the bank/branch or mobile provider is correct, and exactly the approved primary route is selected. If payment is split, verify the saved allocation on every route and the 100% total. Do not use a bank-directory row as proof that an account is owned by the employee.
Important boundaries
Bank and payment data is sensitive personal/financial information. Paydae records the configured route locally; it does not verify account ownership or confirm that a payment was made. Follow the organisation’s approval, bank-file, and retention controls.
Common problems
A bank is missing
Maintain the directory through Banks > Add bank only if authorised; that screen does not create an employer payment account.
Primary payment route is missing
Add a payment method and mark one primary.
The payment dialog closed but the route is absent later
Select Save changes on the employee form after Save payment method.
Allocations fail validation
Enter an allocation for each route and ensure the total is 100%.
Account-holder, bank, branch, or account fields are missing
Complete the fields required for the selected payment method rather than switching methods to bypass validation.
