An employee can exist in Employees but still be absent from a payroll draft because the selected organisation/period, employee status, eligibility dates, inclusion filter, or refresh state excludes the row.

What this means

In Step 1, “Hours & Earnings”, the footer reports the included count and the employee table can be filtered by name, code, or worker type. An employee who is not loaded cannot be included by changing a payroll amount.

Common causes

  • The wrong organisation or payroll period is selected.
  • The employee is inactive, outside the payroll period, or marked as not included in that period.
  • The employee is hidden by the search or worker-type filter.
  • The draft was opened before the employee was added or changed, and its employee list is stale.
  • A readiness blocker prevents employee data from loading.

How to fix it

  1. Confirm the organisation badge and payroll period in the current draft.
  2. Clear the employee search and worker-type filter. Use the table’s inclusion checkbox when the employee is present but excluded.
  3. Select “Refresh employees” in the payroll wizard. Check the loaded employee count and any returned error.
  4. Open Employees and verify the employee’s organisation, active status, effective dates, and payroll-period inclusion data. Correct the employee record through the supported edit flow.
  5. Return to the draft, refresh again, select “Save progress”, and recheck the row before previewing.

What to check before continuing

The employee appears in the Step 1 table, is included, has the intended “Regular hours”, “Overtime”, “Additional earnings”, “Reimbursements”, and “Payment type”, and has no payroll-incomplete message. Confirm the employee appears in the backend preview and review rows.

How to prevent it

Maintain employee status and effective dates before opening a run. Refresh the employee list after employee changes and use the preparation checklist for each period.

Still stuck

Record the organisation, period, employee identifier, status, inclusion state, and exact refresh/readiness message. Share selected evidence only through support; do not send an unredacted employee export unless requested and approved.
