Assign employees to pay schedules
Plan effective-dated employee assignment to named regular pay schedules.
Before you begin5 sections
Create a named schedule before assigning employees. Each employee has one primary regular schedule for any service date; an assignment can start or end partway through a pay period.
Before you begin
Confirm the organisation, schedule, employees and intended effective dates. Check for payroll drafts, submitted runs or finalised coverage that could be affected by a transfer.
Product navigation
Open Payroll → Schedules. Find the named schedule and use its row action Assign employees. The current roster loads for the runtime business date, and each row shows its assignment’s effective range.
Assign employees
You can also select initial employees while creating a schedule. Their date defaults to the later of the organisation’s business date and the rule’s effective date, and you can edit it. The preview shows the impacts before the schedule and selected assignments are saved together. An empty selection is valid.
- Choose employees
Choose employees directly or use the department and position filters. Review the resulting employee list; a later profile change does not automatically change the assignment.
- Set the effective date
Set the effective-from date. It defaults to the runtime business date unless an explicit date was supplied by a deep link. For a transfer, the previous schedule ends the day before the new assignment starts.
- Review assignment impacts
Review the impact preview. Check the old and new dates, affected drafts, submitted runs and finalised coverage. Resolve any blocker before saving.
- Save and refresh affected drafts
Save the assignment. Open each affected editable draft and explicitly refresh and recalculate it before continuing payroll preparation.
Correct an assignment’s dates
Use Edit dates on the assignment’s roster row. The dialog loads its current range. Review the impact preview, then select Save dates. This updates the selected record and checks its revision; it does not create a duplicate.
What to check
Check employment dates, compensation terms and timekeeping for the selected service period. A mid-period assignment can include only the covered service dates in a regular run. An employed scheduled date without a primary assignment remains unresolved; a date assigned to another schedule is handled there. Pre-hire and post-termination dates are outside service.
Submitted payroll cannot be reopened for refresh, and finalised coverage remains immutable. A schedule assignment does not itself add the employee to a particular draft, calculate or pay wages. See Choose employees for a pay run, Set up pay periods, and Understand schedule changes and payroll drafts.
